SHPD – Part Time FOIA Officer/Events Coordinator

DEPARTMENT: South Holland Police Department

WAGE: Up to $20.00/hr. (commensurate with experience)

The Village of South Holland, Illinois, a leading suburb located 25 miles south of downtown Chicago with a population of approximately 22,000, is actively seeking candidates to fill Records Clerks with its Police Department.

The South Holland Police Department (SHPD) relies on over 20 different software databases to input and extract information to facilitate its daily operations. Various systems are used to access and maintain files of accident reports, incident reports, arrest records, payment processing, State/Federal records, citation information, towed vehicle information, etc. The Records Clerk operates and generates reports from these databases/systems.

The individual in this position will assist the FOIA Officer in processing FOIA requests and coordinating events for the Police Department. The individual is expected to show professional conduct and be attentive to detail as well as demonstrate a high degree of accuracy in their work. The ideal candidate must demonstrate the ability to handle workflow consistently and efficiently  by meeting deadlines, demonstrating follow-through, and keeping their work organized and easily accessible. The candidate must be able to think independently and problem solve as well as work with employees at all levels of the organization in dealing with personnel issues.

ESSENTIAL FUNCTIONS:
Reviewing FOIA requests electronically, determining which department will provide the information requested, and processing requests in a timely fashion. Maintain the integrity of the FOIA system. Assist in the coordination of department events.

JOB RESPONSIBILITIES:

  • Provide independent administrative support: Receive incoming telephone calls from employees and the public using professional and courteous phone etiquette and with sensitivity to the diversity of a multi-cultural audience. Respond to and answer questions and requests within the realm of authority in regard to FOIA requests.
  • Maintain accurate, complete, and easily accessible paper and electronic records and filing systems, including confidential documents. Ensure that the integrity of the information is maintained.
  • Participate in the strategic planning process when preparing FOIA request documents.
  • Serve as liaison to other departments.
  • Regularly, exercise professional judgment and assume responsibility for decisions, consequences, and results having an impact on individuals, the organization, and the quality of service within the assigned area. Responsible for keeping the Department Director informed of any issues that may have an adverse impact on the department so that undue escalations can be avoided and proactive solutions considered.
  • Know and interpret the formal and informal FOIA law standards, policies and procedures, safety rules, and administrative procedures for the area of assignment.
  • Miscellaneous other administrative duties as assigned.

REQUIREMENTS:

  • Minimum High School Diploma or General Education Degree (GED) equivalent
  • Minimum 2 years of experience in a responsible, independent administrative support position
  • Must have excellent computer skills including word processing/editing, database entry and retrieval, and spreadsheet setup and entry
  • Must have strong communication skills
